Transportation services

Your business demands that you are able to access the right information when and where needed - safely, securely, and accurately. To that end, Iron Mountain's transportation services allow you to tailor both the service timeframe as well as the exact pickup/delivery point for each request.

The following provides an overview of your transportation service options and their billing implications.

Pickup services
Transportation of Cartons from your site to Iron Mountain is normally performed using the Regular Pickup service, which typically occurs on a fixed weekly schedule, with the day of week dependent on the postal code assignment of your location. You can request a Rush Pickup - Business Day service if you have a need for faster pickup.

Preparation for pickup
Prior to the arrival of the Iron Mountain representative scheduled to pickup Cartons or Files, you need to have packed all Files returning to Iron Mountain into Cartons or Packages. For new deposits for storage, you should affix an Iron Mountain barcode label to each Carton and complete all required forms. Please make sure your items are ready, as unprepared Items may result in a charge for Wait Time.

Delivery services
Standard delivery services for deliveries of two boxes and/or ten files or less will be delivered via third party within two Business Days. Deliveries of greater than three boxes and/or eleven files will be delivered on a fixed weekly schedule with the day of week dependent on the postal code assignment of your location. For urgent deliveries, please use Rush Services.

In those cases where you need service outside our regular delivery, you may request a Rush Service. Rush options include Rush Delivery - Business Day or Rush Delivery - After Hours. These expedited service options will ensure that you receive your requested information in a faster timeframe.

Note that when a rush transportation service is selected, the Retrieval service charge that accompanies the Trip Charge is elevated to a Rush Retrieval service as well. For more explanation of this, please see the service definitions in the Glossary.

Certain transportation services may be completed outside of Business Hours. Iron Mountain makes best efforts to complete Transportation Services as scheduled. Traffic, weather, and other conditions beyond our control may prevent us from meeting the scheduled transportation timeframe.

Transportation service claims
A customer can file a claim to report that Iron Mountain did not meet the expected service level for Rush Service delivery orders. Customers wishing to file a claim may call or send an email. Please submit the claim request within 30 days of the Invoice Date for that particular order.

Data management

Pick up & delivery services
Transportation of Items from your site to Iron Mountain is normally performed using the Scheduled Service. You can request Standard Special or Critical Special service if you have a need for faster pickup/delivery. Additional media requests for a Scheduled Service must be placed on or before 7:00 PM the previous Business Day. All “add-on” requests received before 7:00 PM the previous Business Day will be delivered on the next Scheduled Service.

Preparation for pickup
Prior to the arrival of the Iron Mountain representative scheduled to pickup Container or individual Media, you need to have packed all Media returning to Iron Mountain into Closed Containers or Transport Containers. For new storage items, you should affix an Iron Mountain barcode label to each Container and complete all required forms. Enhancing security
At Iron Mountain, our primary focus is on providing accurate, timely service that safeguards your important information.

Iron Mountain has adopted security procedures and technology to help secure your media in transit. This includes our InControl™ technology platform. InControl ensures the protection of information while it is in transit with patent-pending security, real-time tracking, and auditable chain of custody.

We ask that you cooperate with our representatives as our procedures require the acknowledgement of each transportation service by signing our scanners or forms upon completion of the service. Iron Mountain cannot be responsible for transported Items unless receipt is confirmed through this process.

Because we realize that quality employees drive quality service, Iron Mountain screens our representatives through background checks. Transportation services are normally performed by Iron Mountain personnel using company vehicles. However, we also utilize third party transportation services.
